TechCommons will publish registration details and the applicable privacy notice before enrolment opens. Current programme questions are handled by direct email.

Information collected

Current programme and organisation questions are sent by email. The sender chooses what contact and contextual information to include. Do not email detailed diagnoses or a child’s personal contact details.

If registration opens, TechCommons will explain the minimum information required, the service used and any optional fields before a family submits information. Publicity choices will remain separate and optional.

Purpose

Information is used to respond to enquiries, assess course suitability, communicate program arrangements, administer the relevant activity and meet safety responsibilities. It is not shared externally as a general practice.

Storage and security controls

Current email is held in a TechCommons-controlled account with access restricted to authorised people. If Google Forms is used for final registration, forms and response data will also be owned through a TechCommons-controlled account.

Operational controls include two-factor authentication, unique passwords, no password sharing, no public response spreadsheets and no unnecessary downloaded exports. Access is reviewed periodically and removed when it is no longer required. No online system can be represented as completely secure.

Retention and deletion

Registration data is retained for no longer than 12 months after the relevant course ends, unless an incident or legal requirement justifies longer retention.

Deletion covers form responses, spreadsheets, downloaded exports, email attachments and cloud Trash. Access lists are reviewed as part of program close-out.

Parent and guardian rights

A parent or guardian can ask what information TechCommons holds about their family, request a correction, withdraw future publicity consent or request deletion where the information is no longer required for program administration, safety or another applicable obligation.

External services

Google Forms may be used for final registration. The website currently provides direct email links. Google Maps is not loaded on the community-class page until the visitor chooses to load it; a directions link is also available.

External services process information under their own terms and privacy practices. Families will be told which registration service applies before enrolment.
